As an In House Transaction Coordinator, you will be the backbone of our transaction process, ensuring that every real estate deal progresses smoothly and closes on time. Responsibilities
Document Management & Submission
Achieve 100% on-time document submission by ensuring all required paperwork is accurately completed and delivered to relevant parties on or before deadlines
Draft, review, and send all necessary paperwork (assignments, contracts, addendums) with accuracy and completeness
Submit properly executed documents to the title company on the correct email thread
Escrow Coordination
Collaborate with title companies to ensure a seamless closing process
Provide and confirm the correct payment methods for any applicable fees
Review and approve HUD statements (or closing disclosures) for accuracy, addressing any discrepancies or corrections promptly
Communication & Relationship Management
Serve as the primary liaison during escrow, handling inquiries from buyers, lenders, agents, wholesalers, and sellers
Maintain consistent communication with the Acquisitions and Dispositions teams regarding deal progress
Send wire instructions to buyers, ensuring earnest money deposits (EMD) are received in a timely manner
Problem-Solving & Issue Resolution
Achieve less than 2% error rate on closing documents by minimizing mistakes in drafting and reviewing contracts and addendums
Identify potential roadblocks and coordinate solutions to keep transactions on schedule
Troubleshoot issues such as title defects or missing signatures with efficiency and adaptability
Transaction Completion & Success
Achieve a 90%+ closing rate by proactively resolving issues and ensuring most opened escrows proceed to successful completion
Take responsibility for each transaction from start to finish, proactively seeking solutions even in complex or chaotic situations
Embrace all four core values with an emphasis on Integrity in transaction handling
Collaboration & Reporting
Meet weekly with the Operations Manager to provide status updates on all active files
Work closely with internal and external stakeholders to anticipate and address potential issues before they arise
Qualifications
Proven experience in real estate transaction coordination or a similar role
Strong problem-solving skills, with a demonstrated ability to resolve issues in real-time
Familiarity with the real estate escrow process and transaction documentation
Previous experience in real estate wholesaling is a plus
Excellent communication skills, with the ability to manage multiple stakeholders
Highly organized and able to handle multiple transactions at once
Real estate software proficiency (CRM systems, transaction management platforms)
Tool Requirements: Laptop/desktop with at least 4 GB RAM and i3 processor Stable internet connection of at least 5 MBPS USB noise-canceling headset/Webcam
