Microsoft 365 Groups Expert Needed to Set Up and Manage Email-Based Request Workflow

We are a U.S.-based services firm looking to streamline how we receive and manage service requests from clients globally. Currently, our team receives requests through individual email accounts, which causes inefficiencies and corporate oversight.

We want to centralize this process using Microsoft 365 Groups so that all requests sent to our shared address (e.g., requests@ourdomain. com) are visible to a small team (4 people), who can then claim, assign, and respond to requests efficiently.

We are seeking an experienced Microsoft 365 consultant to:

Set up a Microsoft 365 Group with shared mailbox functionality.

Configure access for 4 staff members and the CEO (for oversight)

Implement a simple assignment workflow using Outlook Categories, Microsoft Planner, or another built-in method.

Configure rules to help categorize and track service requests

Train our team to use the system confidently (live or recorded sessions)

Provide written documentation or a reference guide.

Recommend best practices for security, visibility, and group settings.

Help ensure the CEO can view all communication threads and work products at any time.

Best practices for small service-based companies using Microsoft 365 tools

This is a one-time setup project with the potential for ongoing hourly support after successful implementation. Preference is given to U.S.-based freelancers or those available during Eastern Time Zone hours.
