HR & Administrative Finance Associate

We are seeking a dynamic and versatile individual to join our team in a multifaceted role encompassing Human Resources, Executive Administration, and Accounts Receivable functions. The ideal candidate will be highly organized, detail-oriented, and capable of managing diverse tasks efficiently.
Responsibilities:
Human Resources:
Coordinate HR activities including recruitment, payroll, benefits administration, onboarding, and offboarding processes.
Manage employee records, ensure compliance with company policies, and assist in HR-related inquiries.
Facilitate employee training programs and support performance evaluation processes.
Maintains knowledge of trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law.
Provide support and guidance to staff members.
Design and implement employee retention strategies.
Manage all payroll and unemployment state accounts.
Executive Administration:
Manage and maintain all state licensing and insurance requirements, ensuring compliance with relevant regulations and laws
Prepare, review, and coordinate legal agreements, contracts, and other official documents
Provide comprehensive administrative support to the Executive Leadership, including calendar management, scheduling appointments, and travel arrangements
Act as the primary point of contact for all internal and external stakeholders, professionally handling inquiries and requests
Perform ad-hoc tasks and projects as assigned by Executive Leadership.
Accounting:
Conduct reconciliation of all accounts on an as needed basis
Maintain and balance the general ledger in an accurate, complete, and up-to-date manner
Perform all activities related to the accounts payable function including reviewing, coding, and processing payments.
Perform account receivable functions including invoicing, deposits, collections, and revenue recognition
Sending and collecting invoices
Other duties as assigned from our Accountant, CFO or executive leadership.
Proficient skills in QuickBooks and Microsoft Excel
Qualifications: Bachelor's degree in Business Administration, Human Resources, or related field preferred. Proven experience in HR functions, executive administrative support, and accounts receivable. Strong organizational skills with the ability to manage multiple tasks and deadlines. In-depth knowledge of state licensing requirements and legal agreement procedures Proficiency in Microsoft Office Suite and familiarity with HRIS and accounting software. Experience in BambooHR will be preferred. Excellent communication skills and the ability to interact professionally at all levels.
