Job Summary and Qualifications
The Provider Scheduler ensures shifts are filled and all assigned locations are adequately staffed according to the staffing needs of the hospitals and patient volumes, work closely with managers and staff to ensure all vacant shifts are filled and clinics are adequately staffed according to budgets and patient volume.
- What you will do in this role:
- Build monthly schedules based on the allowed staffing hours. Will require a knowledge and understanding of how the staffing budget is created and used.
- Revise and update schedules as required or needed according to volume trends to ensure each clinic maintain the desired efficiencies.
- Must have a knowledge of the staffing policies and procedures as well as a knowledge of the number of hours required for PRN, part time, locums and full time positions.
- Will run reports and utilize them to ensure each employee is scheduled and works the hours according the classification in which they were hired.
- Calculate budgeted hours and determine in advance how many FT employees are needed so the puzzle of the schedule fits together. Report staffing concerns immediately (over or under staffed).
- Will contact part time and PRN staff for their availability at least a month in advance. Coordinator will schedule part time and PRN staff according to staffing needs and availability.
- Work with clinic managers to be aware of new staff currently in orientation; ensure new staff are scheduled once they have been released from orientation.
- Maintain and work open shift report.
- Ensure vacant shifts are filled by making calls and enlisting the help of the operations management team. This includes open shifts due to staff absenteeism.
- Follow up with appropriate individuals regarding concerns or problems with open shifts or adequate staff available.
- Help staff with shift swaps, this will take creative thinking and multiple phone calls.
- Communicate continuously with managers regrading issues and concerns.
- What you should have for this role:
- High School Diploma
- Healthcare experience - office or clinical setting
- Provider scheduling experience; highly preferred.
- Excellent communication skills
- Proficiency in Microsoft Word and Excel
