POSITION SUMMARY
We are seeking a highly organized, proactive, and professional Executive Assistant to support our executive leadership. The ideal candidate will have excellent communication and time management skills, a keen attention to detail, and the ability to handle a wide range of administrative and executive support tasks with discretion and efficiency.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
General Responsibilities
§ Manage and maintain the executive's calendar, including scheduling appointments, meetings, and travel arrangements.
§ Prepare and organize materials for meetings, including agendas, presentations, and reports.
§ Screen and manage correspondence (emails, calls, and mail) and respond or redirect as appropriate.
§ Prepare and communicate directly with the AUL Board of Directors for Board related meetings or other business.
§ Help coordinate annual staff retreat along with other conference logistics.
§ Coordinate domestic and international travel logistics, including itineraries, accommodations, and expense reports.
§ Serve as a liaison between the executive and internal/external stakeholders.
§ Track deadlines, follow up on deliverables, and ensure timely completion of tasks and projects.
§ Maintain confidentiality of sensitive information and handle all matters with professionalism and discretion.
§ Assist with personal tasks and errands as needed to support the executive's efficiency.
§ Perform other administrative duties such as file management, data entry, office supply ordering, etc.
Requirements
Education and Experience
§ Alignment with and experience in principles of the pro-life movement and AUL's mission.
§ Proven experience as an Executive Assistant, Personal Assistant, or similar role supporting C-level executives.
§ Exceptional organizational and time-management skills.
§ Strong written and verbal communication abilities.
§ Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools like Zoom, Slack, and Google Workspace.
§ Ability to work independently, anticipate needs, and solve problems efficiently.
§ Discretion and confidentiality are a must.
§ Bachelor's degree preferred, but not required.
§ Minimum two years of experience in a relevant field.

WORKING CONDITIONS
Work Conditions
This position is Washington, D.C. based, but highly qualified candidates who are remote will be considered.
Travel Requirements
Irregular and occasional travel will be required. Proof of a valid driver's license, an acceptable DMV record, and liability insurance may be required.
