    Position Overview:
    We are seeking a proactive and detail-oriented Project Management Assistant to support the Managing Partner and recruiting team in day-to-day operations. This role will serve as a central point of coordination across recruiters, clients, and internal stakeholders — ensuring efficiency, clarity, and follow-through in all aspects of our recruitment cycle.

    Key Responsibilities:

    • Candidate Coordination: Manage candidate submissions by tracking recruiter activity and ensuring all documentation is complete and submitted in a timely manner.

    • Client Communication: Collect and relay feedback from clients to recruiters; follow up as needed to ensure next steps are clear and executed.

    • Direct Sourcing: Assist in sourcing qualified candidates for urgent or high-priority roles, leveraging internal tools and platforms.

    • Scheduling Support: Coordinate interviews between clients and candidates, manage calendars, and confirm appointments.

    • ATS Management: Update and maintain our Applicant Tracking System (ATS), ensuring that candidate status, notes, and communications are accurately recorded.

    • Internal Workflow Optimization: Act as a communication bridge between recruiters and leadership, helping to flag delays, clarify expectations, and drive accountability.

    • Special Projects: Support other recruitment or administrative projects as needed, reporting directly to the Managing Partner or a designated team lead.

    Qualifications:

    • 3+ years of experience in a fast-paced administrative, recruitment coordination, or executive support role

    • Familiarity with ATS platforms and basic recruiting workflows

    • Strong written and verbal communication skills

    • Excellent organizational and time management abilities

    • Comfortable handling confidential and sensitive information

    • Self-starter with a solutions-oriented mindset
